Job Summary The Administrative Specialist I provides detailed administrative support to the Fort Bend Subsidence District. This position is detail orientated and provides support to all aspects of administrative services with support from the Fort Bend Office Manager, Director of Administration and Finance, and Deputy General Manager.
Duties and Responsibilities
  • Provide administrative support to the Director of Administration & Finance.
  • Properly administer and secure the receipt of payments and prepare the daily deposit on the accounts receivable for the District.
  • Provide administrative support to the Permitting and Enforcement Departments.
  • Compile, properly post, and prepare for public hearings, Board of Directors’ meetings, workshops, and other public meetings.
  • Compile and distribute permit fee statements and other required mailings of the District as assigned.
  • Compile and distribute late notice and demand letters and contact permittees to coordinate/facilitate payment.
  • Prepare reconciliation of disincentive promissory agreements.
  • Prepare reconciliation of compromise and settlement agreement payment plans.
  • Administer, compile, and notarize signed documents of the Board of Directors and permittees.
  • Other duties as assigned.
Knowledge, Skills, and Abilities
  • Proficient with MS Office Professional Suite including Word, Excel, Outlook, and Access.
  • Good communications skills including a working knowledge (written and oral) of the structure and content of the English language.
  • Good interpersonal skills, including the ability to deal with people from a wide range of backgrounds, ages, and temperaments.
  • Ability to take initiative and identify potential needs.
  • Good organizational and time management skills.
  • Ability to work calmly under pressure.
  • Ability to convey information effectively and calmly during tense situations.

  • Ability to operate office equipment, including computers, copiers, fax systems, postage machines, folding machines, etc.
  • Ability to lift and move objects such as paper, ink, toner, and other supplies weighing as much as 20 pounds.

Education/Experience Associate’s degree required; Bachelor’s degree in Business Administration is preferred; or two to four years related experience and/or training; or equivalent combination of education and experience.
Language Ability Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, Directors, permittees, and the general public.
Math Ability Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to identify improvements to workflow.
Computer Skills To perform this job successfully, an individual should have knowledge of MS Word word-processing software; MS Excel spreadsheet software; MS Explorer internet software and MS Access database software. Additionally, familiarity with processing systems is preferred.

Work Schedule This non-exempt position is not eligible for an alternative work schedule. Regular work schedule is Monday – Friday with core hours from 8am-5pm.
